Zoom (Faculty & Meeting Hosts): Unauthorized AI Bot in Zoom Meeting
See GCTS AI Best Practices. Technology Services offers important recommendations and best practices for safe use of artificial intelligence (AI) tools rather than dictating what is allowed in your use of Zoom.
If an unauthorized AI Bot is in a Zoom Meeting:
-
Remove the AI bot from the meeting. (Only the host can remove a participant.)
- To remove a participant from a Zoom meeting, click the "Participants" button, find the participant, and the click "More" and select "Remove". Zoom Support Article
- If you are able to identify the meeting participant associated with the AI bot, contact that individual to discuss your class or meeting requirements.
-
Contact tech@gordonconwell.edu with the following information:
- Meeting ID
- Date of incident
- Bot name as it appears in the participant list
- Your request:
- I am reporting the incident and no action is required.
- I would like this specific AI Bot developer blocked from all of my meetings.*
- I would like all AI Bot developers blocked from all of my meetings.*
- You DO NOT need to identify the individual to Technology Services. If you are not inclined to do so, please contact that individual to discuss class or meeting requirements.
Additional actions hosts can take to prevent bots from joining or gaining access to Zoom meeting information include:
- Use the Waiting Room feature
- Use Meeting Authentication
- Disable Marketplace integration to prevent the bot creator from pulling events from Zoom. (This is already disabled at the GCTS account level.)
- Disable any calendar integration that the bot creator may have. (Note: This has no relation to Zoom's Contacts & Calendar integration products; Contact tech@gordonconwell.edu for assistance.)
- Contact the bot creator and request that they not join company meetings. Some bot providers can ban a company vanity URL in theirs system to prevent bots from joining them.
* GCTS Technical Support (Technology Services/Digital Education) can place a request to Zoom on your behalf. We cannot guarantee the outcome of the request.
