Multi-Factor Authentication (MFA)
The first time you log into your gordonconwell.edu email account, before you can change your initial password, you will be asked to set up Multi-Factor Authentication (MFA). MFA is a critical part of account security at GCTS and is required for all GCTS student, staff, and faculty accounts.
Please see the following information from Microsoft for a full picture of what MFA is and is not: What is multifactor authentication/MFA? (Note that “Microsoft 365 account” or “Work or School account” is your GCTS account.)
How to set up MFA upon first login
- After inputting your GCTS email address and temporary password to our GCTS webmail site, you will be prompted to setup MFA. Please follow these instructions from Microsoft to set up MFA. GCTS Tech Services highly recommends the use of the Microsoft Authenticator app via your personal phone, as this is the most secure and simplest option. You may also choose to use another authenticator app (such as Google Authenticator), text message (SMS), or phone call for MFA.
- To download the Microsoft Authenticator app, please choose the model of your mobile device:
Frequently Asked Questions (FAQ)
- To what device should I download the Microsoft Authenticator app?
- The Microsoft Authenticator app is just for iOS and Android devices, and you only need it on one mobile device. So you can download it on either your phone or tablet. That one device’s app will be used to approve your gordonconwell.edu email logins on any device.
- What actually happens with Multi-factor Authentication?
Microsoft Authenticator App Option: Once you have configured the app for authentication, here’s how the process will work: When you log into your gordonconwell.edu email, SONIS, Canvas, or Microsoft Office on any device or browser, after you enter your password, it will prompt you to open the authenticator app on your phone to approve the sign-in. That is the second authentication. You will see a two (2) digit number on the device you are attempting to log into, and you will be prompted on your personal device to open the Microsoft Authenticator app and input the number you see.
SMS Option: Once you have configured the app for authentication, here’s how the process will work: When you log into your gordonconwell.edu email, SONIS, Canvas, or Microsoft Office on any device or browser, after you enter your password, your mobile phone will receive a text message with a six (6) digit numeric code. This is the second authentication. Input this number in the box provided on the system where you are attempting to log in.
Phone Option: Once you have configured the app for authentication, here’s how the process will work: When you log into your gordonconwell.edu email, SONIS, Canvas, or Microsoft Office on any device or browser, after you enter your password, your phone will receive a call with an automated voice which will recite six (6) digits. This is the second authentication. Input this number in the box provided on the system where you are attempting to log in.
