Logging into Zoom with SSO
If this is your first time using Zoom, download the Zoom Desktop App. Go to the Download Center. Under Zoom Workplace Desktop app, click Download. If downloading doesn’t start, double-click the Zoom installer to begin the desktop app install. Note: After the Zoom desktop app installation is complete, a Zoom icon will appear on your desktop. Complete the installation process. Always log into Zoom using SSO. Double-click the Zoom desktop icon to begin using Zoom. Select “Sign In”. DO NOT enter an email address and password. Select the “SSO” key icon. Enter your @gordonconwell.edu email address and password. If you are already logged in to another GCTS service such as webmail, Zoom may automatically log you in upon selecting "SSO".)

How to Share Content to a Zoom Room (Screen Sharing)
Zoom Desktop Client Settings Step 1: Open the Zoom Desktop Client on your computer. Step 2: If you are not logged in, please refer to our guide on Logging into Zoom with SSO. Otherwise, select the settings gear located in the top right corner. Step 3: Under “General” settings, ensure that the option for “Use Dual Monitors” is checked as seen in this screenshot. Step 4: Under “Share Screen” settings, ensure that the “Show all sharing options” is selected for both the “When I share my screen in a meeting” and “When I share directly to a Zoom Room” categories. You may now exit out of the ZDC Settings. Sharing Your Screen to a Zoom Room Step 1: Once your computer is on the desk and in close proximity to the iPad controller, from the Zoom Desktop Client, click Share Screen. Step 2: A dialogue box will open presenting you with all the options for screen sharing. Select your preferred method (don’t forget to share sound if you are attempting to screen share videos you want the class to hear) and click share at the bottom right. Your screen is now being shared. Step 3: Sometimes, due to either the compatibility of different devices or network issues, Zoom Desktop Client will prompt you to input the meeting Passcode and a Share Key in order to share your screen. The meeting passcode can be found in your “Day Of Course” Communication Email. The “Share Key” Can be found by going to the iPad Zoom Controller and clicking on Share Content. Remote Support:

Using Breakout Rooms During a Zoom Meeting
Step 1: On the iPad Zoom Controller select the option for “…more”. Step 2: Select the option for “Breakout Rooms” Step 3: Enter the number of Rooms you would like created and then select the desired option for how Rooms are assigned. When done click “Create”. Note that if you selected “Assign Manually” that Zoom will prompt you with a list and have you add students to each room. Step 4: Once you are ready to have students enter the rooms. Select “Open All Rooms” at the top right. Step 5: To end Breakout Rooms. Select “End All Rooms” at the top right. Step 6: To return to the main controller screen, select “Close” at the top left. Performing A Speaker Test
Step 1: On the iPad Zoom Controller navigate to the settings tab Step 2: Select the Speaker Tab Step 3: Click Test Speaker (a ringtone will play letting you know the speaker is working) Step 4: If no sound, ensure soundbar is on Step 5: If the soundbar is verified as on, but you still are not hearing audio, contact your scheduled support technician for further assistance. Connecting To The Room's External Monitor (Windows)
Step 1: Locate the HDMI cable laying out on the instructor desk. It may be attached to a USB-C adapter labeled with the room number. If your computer has an HDMI port, you may remove the adapter, set it to the side and plug the HDMI cable into your PC. Step 2: Your screen may flash, and you should see your display come up on the external monitor. Step 3: To verify your monitor is connected properly, go to your computers settings and navigate to Settings>System>Display. Step 4: Depending on your computer’s settings you will see a representation of the external monitor being used as a mirror for your desktop (left image below) or as an extended display (right image below). If your computer is already using the external monitor as an extended display (right image below) you may exit. Your external monitor is connected correctly. Step 5: If your computer was set to use the external monitor as a mirror for your desktop, scroll down and locate the option for “Multiple Displays” (as shown in the screenshot). Click on the dropdown and select the option for “Extend these displays”. Wait (the screen may blink) and then scroll back up to verify the representation image of your external monitor matches the image on the right in Step 4. Connecting To The Room's External Monitor (MAC)
Connecting To The External Monitor With A Mac Step 1: Locate the HDMI cable laying out on the instructor desk. It may be attached to a USB-C adapter labeled with the room number. If your computer has an HDMI port, you may remove the adapter, set it to the side and plug the HDMI cable into your Mac. Otherwise, plug in the adapter to one of your Mac’s USB-C ports Step 2: Your screen may flash, and you should see your display come up on the external monitor. Step 3: To verify your monitor is connected properly, go to the settings app on your Mac. (Icon shown below) Step 4: On the lefthand side, scroll down and select the “Displays” option. As shown in this screenshot you will see each display currently attached to your Mac. Your laptop’s screen will be labeled “Built-in-display” and the external monitor (unless it was named otherwise) will be labeled with its model number. In this case “VA249”. Step 5: Select the external monitor by clicking on its representative image (outlined in orange in this screenshot) Step 6: Scroll down until you see the setting for “Use As”. Verify that the option selected is “Extended Display” as shown in this image. If so, then you may exit the settings application. Your display is connected correctly. Step 7: If the option selected is “Mirror for Built-in-Display” click on the drop down and select “Stop Mirroring”. Wait (the screen may blink) and you should see the option automatically switch to “Extended Display" as shown in Step 6 above. If so, then you may exit the settings application. Starting and Managing A Course From The Zoom Controller
Starting a Course from the Zoom Controller Step 1: Locate the iPad Zoom Controller on the desk Step 2: Your course information should be visible on the left-hand side of the controller as shown. Step 3: Underneath your course title select join and the meeting will begin. You have successfully started your course. Managing a Course from the Zoom Controller Basic Controls - Mute/Unmute Audio - Start/Stop Video - Ending A Meeting Step 1: Select the button at the bottom center of the screen labeled “End” Step 2: Select “End Meeting for All”. This will end the meeting for all participants. - Recording A Meeting Step 1: On the iPad Zoom Controller select the option for “…more”. Step 2: Select “Record” to begin recording the meeting. Step 3: You may pause or end the recording by going selecting the “…more” menu item and then choosing “Pause Recording” or “Stop Recording”. Aside from basic controls, two common features used in Zoom Meetings are Content Sharing and Breakout Rooms. Performing A Microphone Test
Step 1: On the iPad Zoom Controller navigate to the settings tab Step 2: Select the Microphone Tab Step 3: Click Test Microphone and say a short phrase such as “this is a microphone test 1 2 3” Step 4: You will see a sound bar begin to move, and shortly after the controller will playback the audio you spoke over the soundbar. (please make sure the soundbar is on prior to testing) Step 5: Select “Stop Test” to end the microphone test Step 6: If the soundbar is verified as on, but the microphone is not working please contact your scheduled support technician for further assistance. Troubleshooting And FAQ
Common Issues I don't hear any sound! Solution 1: Ensure the soundbar is on using the Vizio Remote. See startup procedures on page 4. Solution 2: Ensure the soundbar is on using the power button physically on the soundbar located on the top as shown below. Solution 3: If this issue is occurring during a screenshare, ensure the volume of your computer is up to at least 75%. Participants can't hear me speaking! Solution 1: Ensure the microphone icon isn’t muted on the iPad Zoom Controller. Solution 2: Ensure the participants have the volume turned up on their computer. Participants can't hear the audio of a video I'm sharing from my screen! Solution 1: Ensure the volume of your computer is turned up to at least 75%. Solution 2: Ensure the participants have the volume turned up on their computer. Solution 3: Make sure “share computer audio” is checked when you screen share as shown in this screenshot. You will need to cancel your current screen share and then re-enter screen share to change the settings. Presenter view (in PowerPoint) is shared to Zoom, not the slides! Solution 1: “Play” your PowerPoint slideshow THEN share your screen. Start your PPT slideshow. Without exiting your slideshow, navigate to Zoom. Share your screen. Select the window that shows only your presentation slide. Solution 2: If you are using the external monitor as an extended display, swap the screens via PowerPoint. In PowerPoint's presenter view, navigate to the top left and click “Swap Displays” as shown in this screenshot Solution 3: Join the Zoom meeting from your computer before sharing content. Join the zoom meeting from your computer (as you would from home). DO NOT join audio. Select “Leave Computer Audio” if you are joined automatically. Select “Share Content” Solution 4: Do Not “Play” your PowerPoint slideshow. Maximize the size of the slides. Navigate your presentation with the Up and Down arrow keys. Please note, your notes will note be visible with this solution and as such you may want to print your PowerPoint notes. The option for Breakout Rooms is missing! Solution 1: Reclaim Host from the iPad Zoom Controller On the iPad Zoom Controller select the option for Participants. A list will be displayed of all participants in the meeting. You should see that the Room is no longer listed as the host. Select the second option labeled either “Claim Host” or “Reclaim Host”. You may be prompted to enter your host code. If you don’t already have your code on hand, you can locate your host code in the “Day Of Course” Communication Email sent from Technology Services. The options for Breakout Rooms should be restored to the controller. Solution 2: Have the current host transfer credentials to you. On the iPad Zoom Controller select the option for Participants. A list will be displayed of all participants in the meeting. Search the list for the participant showing as the “Host” of the meeting. That person will need to add the Zoom Room back as the Host by going to the “participants” option on the bottom bar of their zoom session and then selecting Charlotte – 227 > More > Make Host. The options for Breakout Rooms should be restored to the controller. I want the cameras to stop moving! Solution 1: Set the cameras to manual mode. On the iPad Zoom Controller select the option for “Camera Control”. Under the “Camera Mode” setting, select “Manual” from the dropdown menu. The cameras will no longer move on their own. You may move them manually with the green labeled remotes. Use the arrows on the remote to control vertical or horizontal pitch. Use rocker with the magnifying glass on them to control zoom.
